RISK & INSURANCE
Club Assist
 
Insurance for members, events & club assets is not automatic.  Clubs and members must follow the required processes and disclosures to ensure coverage.
 
 
The Rotary Insurance policy provides insurance (subject to appropriate declarations and compliance with policy requirements) in the following categories -
 
  • Public & Product Liabilities
  • Personal Accident / Travel
  • Motor Vehicles
  • Association Liability
  • Industrial Special Risks
  • Marine Transit
 
The Insurance Handbook provides further details, including who is insured and the significant deductibles in all sections of the policy, payable in the event of a claim.

KEY ACTIONS FOR CLUBS & MEMBERS
GENERAL
 
All clubs must ensure that they -
 
  1. Complete and return the online Annual Insurance Renewal Form, no later than 11 April 2025 (for the 2025-2026 year).
     
  2. Comply with all Youth Protection requirements as outlined on the Youth Protection Page, including the appointment of a Club Youth Protection Officer responsible for ensuring all relevant checks are completed and that members understand their requirements in relation to youth.
     
  3. Complete the required documents for all projects and events (see next section).
     
  4. Report all incidents promptly by completing the Incident Report Form and notifying the District Insurance Officer by email.
 
Finally, clubs should note that offering cover under Rotary Insurance to other entities or bodies is strictly prohibited.
EVENTS & PROJECTS
 
Prior to the commencement of any event or project (note that reqular events such as Bunnings BBQs only require the forms to be completed once), complete and email to the District Insurance Officer the following documents for approval and confirmation of coverage -
 
  1. Project & Event Notification
  2. Basic Event Checklist 
  3. Risk Management Analysis
  4. General Release and Indemnity for anyone participating in any sport, game, match, race, practice, training course, trial contest or competition.
     
Clubs must record the the attendance of all members and volunteers at each event or project, with records kept of all incidents, regardless of whether a claim is expected.  Use the Attendance and Incident Log or record the same details in another form (e.g. record of attendance via an event booking system).
 
Clubs who own or operate amusement devices should ensure they understand and follow the  Amusement Device Checklist to ensure that safety standards are met.
 
Finally, please note that vendors and stallholders who operate at club organised markets / swap meets etc are not covered by Rotary's insurance and therefore must have their own insurance otherwise they should be excluded from attending.  If they do not already have insurance, an option for instant cover might be My Market Insurance.
 
TRAVEL INSURANCE
 
If intending to use Rotary Travel Insurance then, prior to travel, members should -
 
  1. Understand the coverage required by reading the Travel Insurance Summary.
     
  2. Complete a Travel Authorisation Form and email the form to the District Insurance Officer to confirm coverage.
     
  3. Ensure they are fit for the activities they are undertaking on their Rotary trip.  For travel greater than 50km, a “Fit to Travel” letter must be obtained from a GP prior to departure and retained by the member in case of a claim.  For travel that is simply to and from a meeting / airport etc, a "Fit to Travel" letter is not required.
