Hosting "GSE Teams" from District 6080 Missouri and District 5510 Arizona

1. In 2011 Clubs will have the opportunity to host inbound GSE Teams from District 6080 Missouri and District 5510 Arizona.

On current advice the teams will each comprise of a Rotarian Team Leader and four (4) Team Members and will visit our District from:

D6080 Missouri 5 March 2011 to 4 April 2011
D5510 Arizona 7 March 2011 to 5 April 2011

There may be some minor variations to these dates once travel arrangements are finalised.

2. Clubs wishing to be considered for hosting must nominate on the application form no later than 3 September 2010. Forms are have been sent to all club Presidents and Secretaries and are also available from the here.

3. Hosting a GSE Team is a great experience for a Club, but, in considering hosting, Club's need to be mindful of the following requirements.

4. As you are aware, inbound teams are only responsible for personal expenses. Organised Club activities, accommodation and all meals are expenses to be met by the hosting Club. When considering hosting a team, the Club should set aside between two and five hundred dollars to meet expenses and decide how to share costs with hosting Rotarians. There are useful tips for both clubs and host families involved in hosting a GSE team listed on our District web site.

5. When considering if your Club is able to host a team, your board needs to screen those members who have indicated they are willing to host one of the exchange team members. Names, addresses, particulars of other family and non-family members residing at that location should be obtained. Interests of those living in the host house should also be noted.

6. Previous experience necessitates mentioning the following:

1. Single hosts should not be scheduled with a GSE visitor of the opposite sex.
2. The family environment, within which a GSE visitor will stay, should be stable. All members within that family should be considered. One disruptive member of a host family can have an enormous effect on the visiting GSE team as a whole.
3. Hosts should be prepared to cover all costs (except private costs) associated with the GSE visitor's stay. The club should assist where necessary.
4. Hosts, where possible, should share some similar interests with the visiting GSE member.
5. Hosts should be able to provide comfortable, private accommodation to a visiting GSE member for the duration of their stay, usually 3 to 4 nights.

7. Detailed program information and full details on host families are required by 26 November, 2010 by the District Committee Coordinator to enable the requirements of Rotary International to be fulfilled.
8. Preference will be given to those Clubs whose submissions are complete with proposed team activities and vocational opportunities that your Club can readily access.


Preparation of hosting Club's program

9. All vocational days (a minimum of one per week per team member) will be arranged by the host Club but coordinated by the District GSE Committee. Any additional vocational days made available to the team members would be a bonus.

10. It is important to identify one person, who is interested in the program and reliable, within your Club who will co-ordinate the GSE visit to your Club. This is often the International Director, however, you may choose to nominate another member of the club. This person should be readily available for regular contact by the GSE Committee Coordinator to ensure your program is running smoothly.

Program Schedule

11. The schedule for Club hosting of each inbound GSE Team will be determined by the Committee. It will endeavour to provide orderly and logical travel through the District and hosting on normal Club meeting dates, where feasible. Clubs should indicate on their applications if there are any specific times that are unsuitable for hosting.

12. Information on club hosting, home hosting and how to draw up a program for hosting a GSE visit can be found on the District web site mentioned in paragraph 2 above.

13. Remember that applications to host close 3 September 2010. For administrative purposes applications are to be submitted on the accompanying application form.
